"""Job Description _________________________________________________________________________ Summary Job title Administration and Finance Assistant Division Social Sciences Division Department Department of Social Policy and Intervention Location Barnett House, 32 Wellington Square, Oxford, OX1 2ER Grade and salary Grade 5: £28,759 - £33,966 p.a.pro rata Hours Part-time – 27 hours per week (74%FTE) Contract type Fixed term to 31 July 2025 Reporting to Senior Programme Manager Vacancy reference 171237 The role To provide day-to-day administrative support with a focus on internal and external communications coordination and general responsibility for the administrative support for a large-scale study aiming to improve outcomes for children affected by HIV/AIDS in South Africa. The role will work closely with the teams in Oxford and South Africa, led by the Principal Investigator (PI), Professor Lucie Cluver. To work closely with other members of the team in ensuring the smooth running of the studies and both as a member of the research team and independently. Responsibilities General Administrative Support • Act as first point of contact in the project office, responding to general enquiries, as well as communicating directly with the PI and the staff at Oxford and within the field; by phone, email and Skype; dealing with routine enquiries regarding the projects and passing non-routine enquiries to the appropriate person where necessary. • Plan and coordinate internal meetings with Early Career Researchers, and annual / quarterly meetings with Funders and project partners; make administrative arrangements for training, meetings and events including room booking, catering, travel and accommodation arrangements for staff, compiling agendas and drafting minutes. • Organise mailings for training and events, maintain mailing lists. • Update the project website and maintain online platforms, including producing content for twitter and other social media platforms, • Collate and circulate appropriate data. Create and maintain spreadsheets and other data tables to ensure the efficient and effective running of the studies and supporting the Project Managers and Research Officers as necessary. This includes maintaining knowledge management records, inventories and trackers. • Maintain organised filing systems on multiple platforms and maintain confidential records and files of all study activity, including incident reports. • Assist Project Managers staff recruitment: prepare job adverts, job descriptions and further particulars, letters of acceptance and standard contracts, collate applications and compile interview schedules. • Follow administrative procedures and take initiative to make suggestions for improvements as appropriate. • In consultation with Project Managers and field teams, review expense claim forms and ensure queries are dealt with, monitor project budgets, ensure efficient processing of project expenses, invoices and donations. • Maintain good working relationships with key suppliers and the Department's finance office and be proactive in resolving issues. • Any other duties as deemed appropriate by the PI that are commensurate with the grade of this role. Selection criteria Essential selection criteria • Experience of Financial Administration and managing general administrative processes. • Ability to interpret, apply and communicate regulations and procedures. • Educated to GCSE standard or equivalent. • Competent using Microsoft Word, Excel and databases. • Excellent electronic diary management skills and using cloud filing services. • Able to organise own workload and work to deadlines. • The ability to work independently, with minimum supervision, and a willingness to resolve situations, as well as knowing when to refer issues to others. • Skills in writing financial reports. • Experience of interpreting financial policies. Department of Social Policy and Intervention The Department of Social Policy and Intervention is a multidisciplinary, social science centre of excellence for research and teaching in comparative social policy and evidence-based social intervention and policy evaluation. In the UK-wide 2021 Research Excellence Framework (REF), it was a top-five scoring department in the country, across all subjects and universities, with 62 per cent of the Department’s research activity classified as ‘world leading’ (4*) with a further 30 per cent classed as ‘internationally excellent’ (3*).
