This is a flexible role, consisting of 5 shifts per week, over 7 days, primarily covering the late shift, with variable shifts between 2.30pm and midnight. The Receptionist will be the first point of contact for people visiting or calling Saïd Business School. It is essential the post holder projects a smart, professional image with a helpful, efficient approach when dealing with colleagues, students and visitors. Excellent administrative and IT skills and a pleasant telephone manner are essential. This is a busy and varied role which requires flexibility and the ability to prioritise and meet deadlines. Previous experience of working in a busy environment as part of a team will be beneficial. Saїd Business School operates across two sites: Park End Street (City Centre) and Egrove Park (Kennington). Knowledge of operations at each site is a requirement of the role, as is the availability to work at each site, by prior arrangement.  Provide information to staff, participants and students for facilities and local services e.g. transportation, local points of interest etc.  Accept deliveries, notify recipients, and arrange onward delivery. Space and Room Bookings  Receive requests for room bookings and ensure that staff, participants and students are allocated rooms according to availability and requirements.  Use the room booking system to record all details of bookings. Ensure that rooms are booked and used optimally to maximise cost effectiveness and revenue potential from the use of space in the school, including from external customers.  Work with managers to ensure that the space requirements of each element of the business are met. Administrative Duties  Be responsible for sale and stock control of merchandise and ensure payments are processed accurately.  Greet all visitors to the building in a professional and friendly way ensuring efficiency and high standards of customer service at all times. Be an active member of the emergency evacuation team, ensuring the safety of staff, participants, and students in the event of incidents or fire alarm evacuation.  Deal with telephone and face to face enquiries efficiently, effectively, appropriately, and politely. Assist with security checks of the premises, in preparation for the building being vacated and secure when closing for the night.  Ensure the contents of first aid kits are maintained and replenished.  Any other duties which may reasonably be required. Responsibilities Reception Duties    Work as part of a team to ensure that tasks are completed, communicating with colleagues to ensure that service levels are consistently to a high standard.  Ensure that the Reception lobbies are kept clean, tidy and to the required standard.
