Responsibilities Data entry, regularly updating departmental databases with patient recruitment data, trial costs and procedure prices etc. Completing paperwork, initiating and completing paperwork for raising invoices by deriving reclaimable costs such as patient visit fee, patient travel, drugs and couriers from source records and reclaiming from funders where appropriate. Liaising with doctors, nurses, data managers and trial admin teams where appropriate to obtain and query information for invoicing. Credit control of unpaid invoices. Including liaising with trial funders to resolve outstanding queries. Validating and preparing for processing trial related requisitions and travel claims. Checking suppliers’ invoices to make sure the information is correct prior to sending to the relevant entity (Oxford University or Oxford University NHS Foundation Trust) for payment. Collation, filing, photocopying/scanning and archiving of documents. Carrying out regular checks in line with agreed procedures including obtaining information about patient treatment activities. Opening and sorting mail. Regularly reconciling income and expenditure transactions for specific trials, making sure all services and procedures have been invoiced for in line with specific terms and conditions for the trial. Maintaining up to date knowledge of national and local guidance on clinical trials. Assist the senior team with ad-hoc reports using various tools e.g. MS Excel, Oracle, and Filemaker etc. Assist the senior team with implementing changes to the administration of trials and general procedures. Participate and contribute directly to group discussions and meetings including minute taking when necessary. Prepare paperwork for the banking of donations in line with procedures.
