Hours Part time over 5 days (0.55 FTE / 20 hours per week) ideally, however other combinations may be considered but must include Fridays Contract type Permanent Reporting to Finance Team Leader Vacancy reference 142915 Overview of the role The general finance office tasks are split and rotated between the 2 Finance Assistants and Finance Apprentice and adhere to the University’s segregation of duty requirement. Responsibilities • • • • • • • • • • • • • • • To preparation of orders using Oracle Financials and departmental credit card – This will include raising purchase requisitions and generating purchase orders. Average number of orders per day is approx. 20 To set up new suppliers and amend existing ones on Oracle financials through central finance To match delivery notes using Oracle Financials – to receipt delivered goods against purchase orders. Advise and investigate any anomalies. To deal with any queries from suppliers about purchase orders raise To investigate and resolve any variations in the invoices compared to the purchase orders and where necessary liaise with the supplier to obtain a credit note. To review and update the open purchase order report monthly and clear any orders that are no longer required. To resolve any queries and distribute the report to the Finance Team Leader, any orders that remain outstanding for more than a month that cannot be cancelled. Process invoices in the Oracle Financial system and deal with anomalies, escalating complex queries to the Finance Team Leader. To be responsible and coordinate all the departmental travel requirements. Including raising POs and matching to the on line travel portal or email requests and confirming to the University’s preferred supplier for travel, ensuring that the correct authorisations are attached for meeting both research sponsors and departmental cost centres required regulations. Dealing with any queries that may arise for travel booked through the supplier To check for correctness all invoices input by another finance assistant where a purchase order has not been raised To check the credit card statement has correct receipts and charging authority’s code as requested and input into Oracle. To check a number of the reimbursement claims received in the finance office and ensure that the correct receipts are attached to each claim. To check that the expenses being claimed for, are bona fide expenses as described in the University’s expenses and benefits manual and research project sponsors regulations. Code the claims to the relevant cost centre or research projects and cost categories. To be responsible for the payment of student bursary payments, setting up recurring payments and creating payment requests for those where a recurring payment cannot be set up To prepare and enter journals into Oracle financials when required. To maintain databases and update records, checking figures for errors and omissions To maintain supplies in the stationery cupboard and order stationery to ensure the department has adequate stocks 2 • • • • • • • To issue the software engineering part time course student invoices during times of absence of the other finance assistant or during busy periods. To complete forms for any banking of cash or cheques and liaise with the Finance Team Leader for delivery of these to Central Finance To deal with any petty cash requests from individuals ensuring that procedure for paying out petty cash is adhered to. To reconcile the Petty cash monthly and preparing the forms for reimbursement to be sent to Central Finance. Input into Oracle the petty cash reconciliation journal for the cost distribution To answer straight forward queries on Finance issues, providing basic advice on financial policies and procedures as appropriate, and referring to the Finance Team Leader of any complex cases. It is one of the UK’s leading Computer Science Departments (ranked first in a number of international rankings). The UK Research Excellence Framework (REF) in December 2014 resulted in 74 members of the Department having 53% of their research activity ranked in the top category of 4* (worldleading). An opportunity for a part-time Finance Assistant has arisen in the Department, reporting directly to the Computer Science Finance Team Leader and indirectly to the Finance Manager. You will also be required to answer finance related queries which may be from suppliers regarding purchase orders or general enquiries relating to these activities.


We are seeking applicants with experience of working in a financial environment who have a good level of numerical accuracy, who are committed to achieving both individual and team goals through excellent team working and communication skills. Applicants should have the ability to work methodically, generating high volumes of accurate work with meticulous attention to detail. You will be educated to GCSE standard or equivalent, and be a competent user of Microsoft Excel. Previous experience of working in an accounting environment, within a higher education or research establishment and experience of the University’s Oracle financial system is desirable.
