This post is located in the Graduate Admissions and Recruitment office, which is based at the University Offices, Wellington Square. The office is part of the Academic Administration Division (AAD), one of the largest units within the University Administration and Services. As part of our operations team, you will support the admission of Oxford’s graduate students, who represent more than 50% of the student population.

 

We are seeking an experienced administrator with strong process, analysis and interpersonal skills to join our committed and dynamic operations team, with a particular focus on coordinating the placement of graduate offer holders at colleges.

About the Role

 

The post holder will be a member of the Operations team within the Graduate Admissions office. They will report to the Head of Graduate Admissions Operations and will be responsible for managing two Graduate Admissions Administrators. All graduate students on matriculated courses at Oxford benefit from membership of both their department and their college. For this reason, the University has a two-stage graduate admissions process, with applications being considered by academic departments and, where an offer is made, colleges. To retain the best candidates, it is critical that each stage of the admissions process is managed efficiently.

 

The post will support the admission of graduate students to the University, with a particular focus on facilitating and monitoring incoming graduate students’ college places. This will entail building relationships across the University to manage the successful placement of disabled offer holders, offer holders whose first college is unable to accept them and those made offers after the main application deadlines have passed.

 

In addition to supporting the college side of graduate admissions, the post holder will also play a key role in the improvement of graduate admissions processes and, where relevant, systems. The post holder will contribute to the work of two key University committees: the Graduate Admissions Committee and the Graduate Committee of the Conference of Colleges.

 

About You

 

You will work closely with all the University’s divisions, departments and colleges, using your excellent influencing and communication skills to ensure all candidates receive decisions in a timely fashion, and are promptly offered a college place. You will also work closely with the Disability Advisory Service to support candidates with disabilities.

 

You will configure course set-ups within student records systems to ensure that applicants can apply to the correct courses and college options. You will also be involved in committee and project work, and liaise with colleagues throughout the University to ensure that the admissions cycle runs smoothly and efficiently.

 

You will have experience of working with business processes and systems, have excellent communication and IT skills and an ability to grasp complex IT systems quickly. Accurate and detailed work to tight deadlines, both independently and as a team, is essential.
