The Faculty of Medieval and Modern Languages are seeking to appoint a highly organised and proactive Academic Officer (Year Abroad) to join our busy Academic Administration team.

 

The postholder’s primary area of responsibility is on overseeing the Faculty’s international agreements and year abroad activities, managing the faculty’s travel insurance approvals and the awarding of prizes and grants to students.

 

Reporting into the Education Manager, the postholder will be required to share expertise and work flexibly across the academic administration team, who together provide a seamless professional service to academics and students.

 

Applicants should possess a good general education to first degree or equivalent and experience of administrative support to a busy office, preferably in higher education or a similar field. They should have strong organisational skills and a systematic approach. An awareness of issues arising during international travel and/ or risk management processes would be an advantage.

Undergraduate and Postgraduate students study languages including French, German, Spanish, Italian, Portuguese, Russian, Czech, Polish, and Greek (in addition to courses in Galician, Catalan, Yiddish, Bulgaria /Macedonian, Croatian/Serbian, Slovak, Ukrainian) – with many students studying two of these languages. The Academic Officer (Year Abroad) is part of a team supporting academic administration across the Faculty. The postholder’s primary area of responsibility is on overseeing the Faculty’s international agreements and year abroad activities, managing the faculty’s travel insurance approvals and the awarding of prizes and grants to students. Reporting into the Education Manager, the postholder will be required to share expertise and work flexibly across the academic administration team, who together provide a seamless professional service to academics and students. The Faculty has approximately 280 Undergraduate students each year undertaking a year abroad – across 30 countries world-wide, undertaking a wide range of activities including study, work placements, volunteering, and independent travel. Most students will do at least two placements during the year. Some of these are part of formal exchange programmes with overseas institutions, and the Faculty is keen to develop more such relationships with key institutions worldwide. Core Responsibilities • Dealing with queries from undergraduates and tutors relating to planning year abroad activities and to queries/concerns from students on their year abroad; interpreting university/Faculty policies as appropriate to provide expert guidance. • Developing and maintaining processes and systems for the administration of Undergraduate Year Abroad activities, including: o accurate record keeping and monitoring of all placements; o developing paperwork and processes regarding agreements with new employers/voluntary organisations; o ensuring college tutors and (where necessary) Senior Tutors are kept informed of any issues regarding their students; o managing risk assessment processes; o protocols for dealing with emergency/crisis situations. • Managing the development and maintenance of accurate Year Abroad information on the Faculty’s Canvas site. • Coordinating and delivering in person and online training sessions for students in preparation for the Year Abroad, including health and safety and risk assessment, tracking (compulsory) student attendance at these. • Proactive liaison with sub-faculty year abroad officers (Academic staff) and the Erasmus/Turing Office regarding: o funding and opportunities for students o exchange arrangements arising from study placements o the development of new collaborative/reciprocal arrangements with other Higher Education Institutions. • Providing regulatory (HESA) returns regarding year abroad activities and travel grants. • Developing and maintaining systems for the advertising and awarding of prizes and awards, travel grants and year abroad hardship grants across the faculty. • Processing travel insurance applications for students and staff, and being the Faculty point of contact for claims for this. • Developing successful working relationships with academic and support staff colleagues across the department and in the wider University, including serving on Divisional/University groups to share information/exchange best practice/input to new systems and processes. • Representing the Faculty (alongside the Education Manager and Director of Undergraduate Studies) on the Oxford University Year Abroad Steering Committee. • Ensuring clear guidance and appropriate procedural documentation is in place for all core areas of administrative responsibility, providing training and briefing sessions to administrative colleagues as required to achieve seamless coverage. • Active contribution to the Faculty’s Academic Administration team, engaging in collaborative working and supporting activities across the team during peaks of activity, particularly related to Examinations and Admissions. 2 It is expected that all members of the Faculty’s Professional Services team devote approximately/on average 10% of their time to training, development or continuous improvement activities and regularly feedback key learning/best practice from these activities. Faculty of Medieval and Modern Languages The Faculty is one of the leading centres for the study of European language, literature, and culture world-wide, offering expertise in the entire chronological range from the earliest times to the present day, and with specialists in film studies, cultural studies, history of the book, and cultural history as well as languages and literatures. The Faculty offers expertise in French, German, Italian, Modern Greek, Spanish, Portuguese, Russian, Polish and Czech, as well as in a range of other languages spoken in Europe. The Faculty is divided into seven sub-faculties: French & Francophone, German, Italian, Portuguese, Slavonic, Spanish and Modern Greek. There are c. 80 permanent academic members of staff, with a further 20 language lecturers, and 10-20 researchers and postdoctoral fellows employed by the Faculty. There are a further 50 faculty members in a range of college posts. The colleges, which are responsible for undergraduate admissions and undergraduate tutorial teaching, admit a total of about 270 students a year to read for the Honour School of Modern Languages and its joint schools with Classics, English, History, Philosophy, Asian and Middle Eastern Studies, and Linguistics. There are about 60 graduates taking taught Masters degrees, and about 120 research students. The Faculty has a professional services team of twenty staff covering academic administration, office support, premises, IT, finance and HR. Some members of this team are part of Humanities Shared Service functions and (along with seven other faculties and Divisional staff), the Faculty will be moving to the Schwarzman Centre for the Humanities in the academic year 2025-26.
