Reporting to the Head of Marketing and Communications, the Internal Communications Officer will support the Marketing, HR and Senior Leadership teams with internal communications for all members of the Department including academics, researchers, sessional tutors, professional, administrative and support staff. The main duties of the post include: creating timely, clear and compelling content; optimising OUDCE communication channels; continually improving communication by evaluating target audiences’ interaction with messages and channels; curating the archive of past communications. Responsibilities Planning, brand and reporting • • • Working with key stakeholders including the Director of Finance and Administration, Interim Director of Operations, Head of Marketing and Communications and Head of HR, to develop an internal communications plan for the Department. Take responsibility for mapping audiences, messages and an annual schedule of core communications. Ensure that Departmental communications follow University guidelines on branding. Engage with a range of internal stakeholders and audiences to identify gaps in provision of resources and propose and implement improvements to internal communications • Use analytics to identify opportunities to increase the range and frequency of engagement and to establish and manage new communications channels where appropriate. • Evaluate and provide updates on internal communications activities and their impacts. Communications channels • Working with the IT, HR and Marketing teams, assemble and curate a range of support materials into a central online platform for internal use, to include: o Forms, resources and reports in regular use within the Department o Training resources, best practices and guidance in support of online teaching and presentation, improved audio/video and production quality o An expanded online staff ‘Facewall’, including a notifications system welcoming new arrivals o Current job vacancies o Organisational charts and facilities maps; o Departmental statistics, such as student numbers, demographics and feedback, tutor feedback, web analytics o An image library, including Departmental and University brand marks and style guides • Using an email platform such as Mailchimp, set up staff and other internal stakeholder mailing lists and establish a system for updating and maintenance working with the HR team • Ensure that scheduling of campaigns, messaging and events balance communication priorities without overloading of messages. • Explore, propose and, where requested, implement innovative ways to communicate with internal stakeholders that ensure message reach. These may include use of social media and other digital channels. Content development • Write engaging, accessible content for a range of internal communications purposes and different internal audiences • Coordinate, edit and publish a monthly internal staff newsletter • Working with the HR and Marketing Teams, create tailored communications for induction purposes • Work with the Marketing team to ensure that campaigns and projects are communicated to internal stakeholders in a relevant, timely and clear manner. Monitor, manage and disseminate feedback to relevant internal stakeholders, following up on actions and responses. Events • • Lead on administration, logistics and planning for Departmental staff and tutor events including the monthly all-staff forums and the annual OUDCE People Awards Support at occasional in-person external Departmental events such as Award Ceremonies as required. 2 Other communications responsibilities • Participate in the University’s Communication Community network and/or other relevant networks/groups in order to share information, promote best practice and ensure crossUniversity communications are coordinated. • Lead on any other internal communications projects as required by the Head of Marketing and Communications. The Department runs courses outside of normal office hours, including evenings and weekends.
