About the Role

 

As the Head of Operations & Delivery within the I&E Team, your role is pivotal in realising the institution's vision outlined in its Strategic Plan. You will work across the Directorate leading the team's operations, ensuring efficient delivery of activities and projects aligned with fostering innovation and engagement. Collaborating with various units in the university, you will work across different services, Divisions and Departments.

Your responsibilities include driving team-wide projects aligned with the Knowledge Exchange Strategy and applying your expertise in change management. You'll analyse stakeholder needs, provide input on priorities, and ensure successful project implementation. Additionally, you'll oversee the development of processes, systems, and digital tools, maintaining operational efficiency and consistency.

Your leadership extends to financial management, team oversight, and fostering collaboration.

 

About You

 

The ideal candidate for the Head of Operations & Delivery role will possess proven expertise in project management within large organisations. They should have expertise in designing systems and processes to drive efficiency and innovation. Strong organisational skills are vital.

 

Additionally, the candidate should demonstrate a results-oriented mindset with a focus on service excellence and experience in leading high-performing teams and managing change in complex organisations.

 

Effective leadership qualities, interpersonal skills, and strong communication abilities are essential for fostering collaboration with diverse stakeholders. The candidate should also be able to think strategically.

The Head of Operations & Delivery is a key role within the Innovation & Engagement (I&E) Team, essential to enable the team to effectively and efficiently deliver on a broad portfolio of activities and strategic projects whilst ensuring outstanding service provision across the innovation and engagement domain. You will lead and maintain oversight of the overall operations of the I&E Team, ensuring that appropriate support is provided at every level and across all functional groups within the team (intellectual property, rights management, public and community engagement with research; EnSpire Oxford, the University’s entrepreneurship hub; regional engagement and knowledge exchange. You will provide senior level support to the University including to the Pro-Vice-Chancellor (Innovation), whilst working across groups in the I&E Team, Research Services (RS) more widely, as well as other professional services units, and academic divisions and departments. As a leader within the I&E Team in RS, you will work with other team members to support engagement with a wide range of internal and external stakeholders. You will have excellent project management skills with a focus on effective delivery, creation and maintenance of operating procedures, and agility that is critical within the innovation and engagement support environment. You will have outstanding interpersonal skills, maintaining and extending the constructive and dynamic relationship between the I&E Team, other professional services, academic divisions, and external organisations such as Oxford University Innovation and Oxford Science Enterprise. Responsibilities 1. Through collaboration with the Director and Leads within the I&E Team, and using expertise and experience of change management, drive forward team-wide projects on innovation and engagement aligned to the objectives of Oxford’s Knowledge Exchange Strategy and recommendations of IP&Commercialisation review. Facilitate the efficient evolution of the team’s business operations, working with other stakeholders as appropriate. Provide support for the Director, deputising for them where required. 2. Coordinate and contribute proactively to the strategic planning and development of the team at a senior level. Lead on ensuring that key actions and strategic projects agreed in the RS annual plan and with the PVC (Innovation) are implemented successfully. Identify and analyse stakeholder needs and proposals to address these. Assess information and provide input to key decisions on Innovation and Engagement priorities and ensure that these are communicated across the team, at all levels, as well as within RS and across divisions and departments and key University committees and groups as required. 3. Take the lead in the development, maintenance, continual review and improvement of business processes, systems and digital tools to cover all aspects of I&E activity. Ensure that there are operating procedures, templates and guidance to cover key functions, relevant to specific groupings as well as between groups within the team. Collaborate closely with other teams in RS where appropriate. 4. Take responsibility and support others in all of the I&E Teams’ reporting and committee responsibilities, both within the University as well as a range of external bodies in which members of the I&E Team represent the University. Produce and present papers, reports and business cases across all areas of the I&E Team’s activities. 5. In collaboration with the Research Services Administration & Finance Team, provide financial support to the I&E Team, including monitoring, transactional and coordination of project and annual budgets for the team, making decisions and judgements that have a positive impacts whilst consistent with achieving strategic priorities. Lead, coordinate, and support a group of administrators across the functional groups in the I&E Team, utilizing a matrix management approach to ensure that the needs of the I&E Team are met effectively at every level. Lead on oversight I&E Team webpages and communication channels, ensuring that content remains current, clear and appropriate and enables convenient access to information. Establish a robust digital filing system that remains fit for purpose and meets the needs of the team overall and RS. Ensure compliance with the University’s data protection and other related policies. 9. Lead on the delivery of events, when appropriate, co-ordinating resource from across I&E and other stakeholders. Take ownership of the events calendar. 10. Join RS Leadership Management Forum to support the work of RS Leadership Team, development and implementation of RS Annual, organisation of RS Quarterly events. 11. Lead on oversight of training delivered or undertaken by team members, ensuring that the overall portfolio of team training is relevant and coherent. Identify team-wide training needs and communicate these to the rest of the senior management team and other members of RS to ensure an inclusive approach to team training. Design an effective induction programme for new starters, ensuring that this covers all relevant knowledge areas, discipline functions and elements relevant to I&E. 12. Through collating and analysing requests resulting from Personal Development Reviews, ensure that the breadth of experience and training needs of team, both as individuals and as a whole, are met, promoting knowledge development and diversity of experience, communicating with other relevant senior staff. Maintain up to date knowledge of external training opportunities relevant to the team, along with feedback on those opportunities where these have been followed up. Ensure awareness of effectiveness, value for money opportunities and identify alternative strategies for provision of training, where appropriate.
