It will be home to the Department of Experimental Psychology and the Department of Biology. As a manager of support services, you will be responsible for the ‘front of house’ team, and ensure that the building provides an effective and efficient reception service that caters for a range of events that are anticipated to be hosted in the LaMB, including some that may take place outside of core hours (e.g. conferences). During these events, you will be expected to be present as the Building Ops Representative, ensuring that any building issues can be resolved in a timely manner. The role holder will be expected to implement and maintain an effective room management system that will be used across all bookable rooms within the LaMB, including several large capacity lecture theatres, teaching laboratories and shared computer labs. These facilities will predominantly be allocated to Biology and Experimental Psychology activities; however, it is anticipated that they will also be centrally bookable and used for conferences and external events. Consequently, it is vital that the role holder will have excellent organizational skills to ensure that day to day activities are carried out efficiently. h Linked to the bookable spaces will be the significant AV infrastructure and it is expected that you will be responsible for ensuring that any issues or faults are identified and resolved promptly. This may involve liaison with external teams such as IT and the University Estates Department. Due to the nature of the role, especially in organising external events, the role holder must work closely with the Building Operations Team to have a thorough understanding of building security. You will assist in the development of a robust security protocol and ensure all members of your team are adequately trained. Finally, the LaMB will have significant requirements around cleaning and catering, including provision for external events (such as conferences). The role holder will be responsible for the management of both the cleaning and catering contracts, including design and implementation of necessary KPI’s. The role holder will be expected to ensure that all aspects of Building Operations are maintained in out of hours events – this may mean attending the events to ensure a prompt response to any building related faults/emergency situations. Main duties and responsibilities: The role holder will be required to work to the assurances provided within the Service Level Agreement (SLA) – a document which details the services that are provided by the LaMB Building Services Team to building occupiers. However, it is also expected that you will undertake any other duties commensurate with the post's nature and grade. Key aspects of the SLA, relevant to the role holder, include. • Effectively manage the building reception services team. Ensure that building reception is manned by suitably trained staff during agreed hours. • Implement and maintain an efficient room booking system and ensue that any required bookings are recharged as required. • Ensure that lecture theatres, seminar rooms and any bookable spaces are setup according to the specifications of the end user. • Ensure that the AV services team are providing an efficient and effective service, and that all equipment meets the requirements of the facility users. • Where required, ensure that the AV team provides adequate training on the use of AV equipment. • Oversee both the Cleaning and Catering requirements and ensure that these services are delivered efficiently and professionally. Equally, ensure that they are delivered to a high standard and achieve value for money. • Keep ongoing records of room and SRF usage and provide data to facilitate strategic decision making. It is anticipated that this is provided via the booking system. • It is essential that you and your support services team are on-site during term time so that an immediate response is available should any issues occur within lecture theatres and/or teaching spaces. • Responsible for assisting with the security of the building, especially during out of hours events. You will work closely with the Building Operations Team to ensure that locks and access control systems are maintained and that any associated statutory testing is up to date. This includes the maintenance, repair and testing of the intruder alarm system. • It is envisaged that the role holder will act as Security Liaison Officer (SLO), disseminating security information and acting as central contact point for the building. • As SLO, you will ensure that there is a robust system in place to ensure access to the building and controlled areas is limited to authorised personnel. 2 • Responsible for maintaining and updating standard operating procedures (SOP’s) related to the role. • Ensure that all necessary protocols and procedures, for which you are responsible, are well established and implemented before the transition into the new building. • Actively assist in the strategy and planning of moving operations from several buildings into the LamB. • Ensure that any relevant legislation (e.g. Martyn’s law) is considered when managing areas that are accessible by members of the public. • Develop and maintain a physical security plan and emergency action plans. • Ensure that there is a robust plan for out of hours security of the building. • Ensure that the building CCTV services are effective and that all codes of practice, which include university standards, are in place and adhered to when accessing CCTV. • The role holder is expected to be part of a ROTA system and will respond to out of hours emergency alarms when necessary. Selection criteria Essential selection criteria • Demonstrable experience in working within large, multi-disciplinary buildings, including an understanding of all security requirements. • Evidence of managing ‘front of house’ services, including reception. • Evidence of working with room booking systems. • Experience in organising and managing contracts – ideally with an emphasis on catering/cleaning. • Ability to respond to an emergency in a professional manner • Evidence of mitigating risks associated with significant footfall in large research buildings. Desirable selection criteria   Previous experience working within Oxford University or a similar Higher Education (HE) Building/Facilities Management Team. The Department of Experimental Psychology The Department of Experimental Psychology at Oxford was founded in 1898 and has a long and prestigious history and is fortunate to be home to a number of current world-leading research groups and continues to be among the top-ranked Psychology departments worldwide. In the 2021 Research Excellence Framework (REF) Exercise the Psychology, Neuroscience and Psychiatry REF submission from Oxford was judged to have many outstanding strengths in the research it produced, its research environment, and in terms of the impact of its research on wider society.
