Reporting to the Admissions and Outreach Coordinator, you will be part of a small and busy team of professional administrators responsible for the efficient and smooth running of outreach initiatives in mathematical sciences, working to support the departments’ progress towards their equality, diversity and inclusion goals, including their Athena SWAN and Race Equality Action Plans.  Whilst undergraduate outreach initiatives will occupy the majority of your time, the two departments are beginning to develop postgraduate initiatives which you will also be expected to support. Responsibilities Planning and Promoting Outreach Activities • Promote the study of mathematics and encourage able students from all backgrounds to continue their studies in mathematical sciences to higher education. This includes working with under-represented groups or those from schools that do not normally send students to Oxford. • Contribute to the planning, implementation and evaluation of the mathematical sciences outreach programme; facilitate and encourage involvement by young people in line with the University’s Access and Participation Plan. • Work with the departments’ external partner organisations to further the departments’ influence and engagement. • Support the two departments’ contribution to pan-University activities including University-wide open days, UNIQ spring/summer schools and other similar events organized by the Undergraduate Admissions Office, MPLS Division and other departments. • Coordinate the provision of mathematical sciences support to college-led outreach activities. 2 Events Organisation and Evaluation • Support the delivery of logistical aspects of any planned departmental outreach event, from conception to completion, working closely with alumni, stakeholders, and internal and external clients. This includes the following; o Coordinating with speakers; collating event information; venue, AV and catering bookings; arranging travel and accommodation for speakers/delegates; preparing materials; and undertaking related logistical tasks to ensure successful event delivery; liaising with the HR Team on recruitment / payment of casual workers for these events. • Be responsible for developing and communicating risk assessments for all departmental outreach events to comply with health and safety requirements. • Ensure outreach events are monitored, evaluated, and continually improved, through maintaining accurate records of events, delegates, costs, and feedback. This involves being responsible for event data collection and entry, including logging events on the HEAT database; recording event attendance for internal reporting against targets, in accordance with GDPR and other legal requirements; and generating reports on this information to inform performance and help in evaluation and planning. Outreach Administration • Develop and keep up-to-date the teachers/prospective students mailing lists, working within the relevant legal requirements to co-ordinate the distribution of communications to the appropriate internal and external audiences. Work with the Admissions and Outreach Coordinator to foster good relations with mathematics teachers, promoting awareness of mathematical sciences as a possible degree subject. • Assist with the maintenance and creation of website content. Take ownership of subsections of the site, including the outreach pages. • Liaise with the Outreach Officers for other mathematical and science subjects to ensure a joined-up approach to outreach/widening participation/student recruitment activity. • Participate in local (divisional and University-wide) and national outreach meetings and networks as required. • Co-ordinate the departments’ contributions to University-wide publications such as the undergraduate prospectus. • Provide support for postgraduate outreach initiatives, such as UNIQ+ and MIORPA, as required. • Service departmental working groups and committees such as External Relations and Outreach Committee (EROC), including preparing the agenda, papers and minutes, liaising with the chair and following up on actions as required. • Any other tasks commensurate with the grade, as directed by the Admissions and Outreach Coordinator or Head of Administration and Finance. 3 Selection criteria Your application will be judged only against the criteria which are set out below. The University’s policy on retirement The University operates an Employer Justified Retirement Age (EJRA) for very senior research posts at grade RSIV/D35 and clinical equivalents E62 and E82, which with effect from 1 October 2023 will be 30 September before the 70th birthday.
