You will be responsible for supporting the GSM in the administration of the portfolio of Paediatric Infectious Diseases (PID) courses run by the Department of Paediatrics which currently includes the MSc (taught), PG Dip and a new PG Cert. In the role you will co-ordinate the efficient and effective administration of all key processes relating to the portfolio, in line with departmental and University requirements, including: recruitment, admissions, enrolment/registration, teaching, assessment, examinations, progression, changes to student status and award verification/transcripts, as well as the promotion of the course through contacts with external networks. Responsibilities Student Administration • • • • • • • • • • • Act as first point of contact for any internal and external enquiries regarding the PID portfolio and provide guidance to students and staff in line with University processes. This will include directing students to University resources, for example, relating to welfare, health, and financial support. Develop expertise in complex departmental and University conventions, regulations and policies, and interpret them accordingly to advise students and course staff. Using departmental templates, draft and publish/distribute all course-relevant resources and content, including handbooks and guidance documentation, for review by the GSM and Course Directors. Maintain all course content and data, using both departmental and University record systems, as well as student and assignment trackers, course Virtual Learning Environment’s (VLE’s), webpages, handbooks, and the PID resource library. Support on the administrative aspects of PID student casework, escalating when necessary to the GSM in accordance with departmental/University processes, for example: providing accurate records regarding academic appeals or requests for dispensations from the regulations, as well as monitoring and processing information relating to student status. Manage annual tasks such as: the nomination, appointment and payment of examiners and accessors; distribution of documentation to assessors for marking and moderation; and the organisation of examinations and assessments. Co-ordinate with the GSM to distribute and facilitate all administration for the Board of Examiners and Organising Committee meetings. For the Board of Examiners (which is the annual meeting at which students’ marks and outcomes are agreed), this will include preparing the paperwork and practical arrangements. The post-holder may be asked to act as the Secretary to the Board, and will work closely with the GSM to ensure an indepth understanding of the relevant and complex policies and processes. Facilitate the recommendations relating to disability and other support as outlined in Student Support Plans, co-ordinating with the departmental Student Support Officer and the Disability Advisory Service, as necessary. Advise students about mechanisms to provide feedback, and facilitating feedback, for example, via the course’s standing committee and the administration of course satisfaction surveys. Administrative support for teaching arrangements including booking rooms, equipment, catering and residential accommodation; making arrangements for transport and field visits; and invoicing students for accommodation or other costs. Assist with departmental events, including annual awards ceremonies. Admissions • Support the GSM in administering the admissions process for the PID courses, following University and departmental policies, including arranging interviews, handling all correspondence as well as offer and rejection letters, monitoring application progress, updating University and departmental systems, liaising with other departments and colleges, processing payments and registering students once they start their course.
