The ARO is primarily responsible for: a) Registration and Data Maintenance – the team maintains on course data for all taught students (undergraduate, postgraduate taught, PGCE, visiting and recognised). This includes registration, deferral, change of circumstances (e.g. suspension), and completion. The team also manages and processes the rollover of taught student records from one academic year to the next. This includes the provision of data quality monitoring reports to relevant stakeholders to assist colleagues in colleges and departments in keeping their data up to date and accurate. b) Assessment Review – this is the annual process where departments inform the ARO of their assessment offerings for the forthcoming academic year. The team manages the collection of this information and its translation into the student record system, ensuring that these are compliant with the Examination Regulations, and that the examination structures are configured correctly. c) Assessment Record Maintenance – the team manages the assessment entry process, including provision of online assessment entry by students in the student record system, manual generation of assessment entries, and the upkeep of assessment records e.g. change of options, late entries and withdrawal. They ensure that students are entered on to valid option combinations and work closely with the Student Assessments team and departments in regards to student entries and subsequent changes. d) Results Processing – the ARO is responsible for preparing results templates to support Exam Boards in communicating outcomes, and uploading and publishing results for all taught students. The ARO is a small team, comprising the Academic Records Office Manager, their Deputy, and two Senior Data Officers. The Senior Data Officers will be required to work in all these areas, and will, under the direction of the ARO Manager and their Deputy, take the operational lead for one or more of the areas above. This will include managing schedules and ensuring that all processes are in place as required. The ARO’s work supports core operational activities such as registration; student loans; visas and immigration; student University cards; student fees; assessments; degree document production, and degree conferral and ceremonies. The team plays a pivotal role in bridging college student administration with these central University activities. Maintenance of accurate records is not only essential for individual students, but also for the University’s internal management reporting and for strategic student number planning. It also underpins the University’s key external statutory reporting responsibilities including HESES1 and HESA2. This post offers a chance to liaise with a variety of areas within the collegiate University, including Education Policy Support, the Proctors’ Office, Departments, Faculties and Colleges. Responsibilities 1. Registration and data maintenance a) Contribute to the processes for maintaining accurate taught student data on SITS:Vision during registration and throughout the year. b) Updating student records following a change in circumstance, for example suspension (break in study), programme transfer, withdrawal, reinstatement, or exit award. c) Rolling over of the taught student record within SITS:Vision. This includes producing and circulating end of year statement reports for all undergraduates to colleges for data checks, preparing data for the rollover exercise and registration and completing error checks post rollover. d) Run regular data quality monitoring reports and share these with relevant stakeholders to assist colleagues in colleges and departments in keeping their data up to date and accurate. e) Custodian the name change process for all current students and alumni. Ensuring that requests for name change are processed in accordance with Data Protection policy and the University’s Transgender Policy & Guidance. f) Contribute to the ARO work relating to the maintenance of student data in preparation for the University’s HESES return and Student HESA return. g) Work with the Data Quality Team to identify and resolve data quality issues relating to the wider student record. h) Work with the Student Systems Support Centre to identify issues with the student records system. i) Staff in the ARO are SITS:Vision super users with access to the core back-end tables, as such they require a deep technical understanding of the student record, being aware of the consequences of record changes, and the impact of using functionality such as bulk upload. The post holder will therefore become a specialist and expert of the student record in SITS and be able to advise other users about data structures and data changes. 2. Assessment Review a) Triage submissions during the assessment review exercise to ascertain whether assessment adjustments are simple e.g. term changes, duration changes, adding explanatory text, or more complex e.g. involving the creation/removal assessments, the setting up of new rules. b) Liaise with ARO Manager to finalise how change requests on assessment reviews should be processed, and determine which assessment reviews can be processed and when. c) Check course regulations, when appropriate, to ensure that requested changes on the assessment review have gone through the necessary approval route. d) Process assessment reviews accordingly, ensuring assessment diets in eVision correctly reflect submissions from the department. 1 Higher Education Students Early Statistics Survey 2 Higher Education Statistics Agency http://www.hesa.ac.uk/ Senior Data Officer October 2024 2 3. Assessment Record Maintenance a) Generate core assessment entries in SITS:Vision. Process other more complex assessment entries, identify invalid entries, liaising with stakeholders to resolve any issues which may occur. Maintain trackers of incomplete or invalid entries, and process late entries or changes of option (including managing payments for these via the University’s online store). b) Process assessment withdrawals, ensuring these are compliant with examination regulations and resolve queries with colleges and departments when necessary. Issue withdrawal notices to relevant teams. c) Set up new assessments, both ones that are on offer to all students and bespoke assessments for other requirements e.g. dispensations or alternative assessment schedules. Communicate effectively with stakeholders to ensure all are aware of where new assessments are/are not needed. d) Check assessment implications for changes of circumstances (e.g. suspensions, withdrawals, programme transfers) amending records as appropriate to ensure assessment entries reflect the correct assessment diet, and discontinuing students’ assessment records prior to issuing withdrawal notices. Liaise with the ARO Manager or their Deputy on complex cases to ensure back-office updates are correct. e) Acquire a comprehensive knowledge and understanding of the Examination Regulations. 4. Results processing a) Contribute to the production and upload of results templates, creating a schedule to ensure these are provided in plenty of time for Exam Boards. b) Process the results that are submitted by Exam Boards. This includes the upload of the results in SITS: Vision, managing any upload errors in liaison with departmental contacts, and the validation, processing and publishing of these. c) Process change of result requests from departments. d) Advise departments on regulations, policy, and identify when dispensation is necessary. e) Acquire a comprehensive knowledge of how student records should appear at different times of the year. Complete student records with the correct final awards or progress students as necessary depending on the time of the year and the record status. 5. General a) Assist the Deputy Manager in managing the team’s group email inbox, working as a team to triage queries from departments, colleges, Education Policy Support, students and the Student Assessments team. Provide accurate advice and timely support to college and department administrators on exam regulations and assessment related policies. b) Maintain relevant websites and SharePoint sites to exchange documents and to communicate up-to-date policy/guidance to stakeholders as appropriate. c) Compile and maintain office procedure and training manuals. Assist with training and support for new team members. d) Work with the ARO Manager and their Deputy to identify improvements to processes and procedures. The post holder will have a good knowledge and understanding of policy issues relating to student record maintenance. e) Facilitate effective working relationships with colleagues across the University, including colleges, students, departments, Education Policy Support and teams within Student Registry. f) Undertake any other tasks as requested by the Academic Records Office Manager or Head of Student Records. The post holder may also be transferred to other duties or responsibilities commensurate with the level of post, according to operational requirements; this includes assistance with the running of examinations during peak examination periods. Selection criteria Essential selection criteria 1. Strong level of education or equivalent experience. 2. Significant experience required in the use of Microsoft Office packages (Excel, Word, Outlook, Teams, SharePoint), email and web browsers. 3. Experience in the use of computerised student record systems with an awareness of the issues relating to the provision and analysis of student data, in particular adherence to Data Protection legislation, quality assurance and enhancement. Strong organisational skills and the ability to work independently and proactively using own judgement when prioritising tasks and responding to enquiries from senior staff and students when conflicting demands may be present. 5. The capacity to acquire quickly a comprehensive knowledge and understanding of complex examination regulations and procedures in order to provide appropriate and timely advice to colleagues and students alike. 7. Education Services Education Services is responsible for supporting many aspects of the student journey from admissions to degree ceremonies and degree verification. This work is achieved undertaken by six teams: 1. Assessment Team The Assessment Team manages the operational running of the University’s examinations (both examinations and submissions); examiner appointment and payments; and student examination alternative arrangements. It also oversees the administration processes underpinning the research student examination. 2. Student Data Management and Analysis The team develops reports for staff accessed through SITS eVision and Tableau, and for the public via the web, and responds to FOI requests. 3. Student App (My Oxford) Education Services leads the development of the Student App, My Oxford, acting as Product Owner to coordinate and prioritise deliverables. 4. Student Immigration Student Immigration provides visa advice to applicants and monitors students attendance whilst on course. 5. Student Records (Academic Records Office, Data Quality Team and Degree Conferrals Office) Student Records manages the Student Registration process and carries out monitoring and exception reporting, including work to produce the annual returns to the Higher Education Statistics Agency (HESA). It manages the configuration of assessments in SITS; the publication of results: verification of student degrees; and working with colleges and the Proctors’ Office to facilitate the running of the University’s Degree Ceremonies. 6. Student Systems The Student Systems section oversees the support and development of IT systems which underpin the various stages of the student career, from admission to graduation. The section provides helpdesk and user support services via the Student Systems Support Centre, and delivers ongoing improvements ranging in size from small enhancements to major projects. The section works closely with the Education IT Programme, one of whose aims is the continual improvement of the present suite of student systems. The University’s policy on retirement The University operates an Employer Justified Retirement Age (EJRA) for very senior research posts at grade RSIV/D35 and clinical equivalents E62 and E82 of 30 September before the 70th birthday. The justification for this is explained at: https://hr.admin.ox.ac.uk/the-ejra. For existing employees on these grades, any employment beyond the retirement age is subject to approval through the procedures: https://hr.admin.ox.ac.uk/the-ejra. There is no normal or fixed age at which staff in posts at other grades have to retire. Staff at these grades may elect to retire in accordance with the rules of the applicable pension scheme, as may be amended from time to time.
