OUCAGS is the single point of contact (“one-stop-shop”) across the University/Postgraduate Medical Education Deanery/NHS partnership for advice and information on academic careers, recruitment, training and funding. Its aims are to create an environment in which academic trainees – Academic Specialised Foundation doctors, Academic Clinical Fellows (ACFs) and Clinical Lecturers (CLs) – can flourish and to maximize the opportunities available in Oxford for careers in academic medicine to develop. The post will be key to ensuring that these aims are achieved and that all aspects of the School run smoothly. Many of the academic training posts are funded by the National Institute for Health Research (NIHR) as part of the Integrated Academic Training Programme (IAT) and the manager will work with the Head of Clinical Academic Development and the Medical Sciences Division’s Finance Team to ensure responsible financial management, in line with the grant and funding body’s administrative requirements. The OUCAGS Clinical Academic Development Manager will also contribute to leadership on all aspects of the recruitment, training, and career development of our clinical academic trainees through management of the operational team and implementation of procedures for the annual recruitment, monitoring and budgeting exercises. OUCAGS has built a strong relationship with NHS England, Workforce Training & Education (NHSE WTE) Thames Valley (also known as the Oxford Deanery), local NHS Trusts, national bodies such as NIHR, Wellcome, and other funding and regulatory bodies which will need to be maintained and further developed. The post-holder will also have line management responsibility for the OUCAGS office staff. This rewarding, highly varied, University senior support role is based within the MSD Office at the John Radcliffe Hospital but the post-holder will also need to work closely with NHS England -Thames Valley. Day-to-day reporting will be to the Head of Clinical Academic Development with additional reporting as required to the Head of School/Deputy Head of School of OUCAGS who are both clinical academics and NHS consultants. Flexibility will be required over working hours in line with other operational needs as some events run in the evening and occasional Saturday morning working will be necessary. It is an outstanding opportunity to support the career development of the clinical academic workforce and develop future generations of research leaders. The post holder will have significant independence within the role and will be encouraged to contribute ideas to ensure that OUCAGS stays at the forefront of clinical academic training nationally and internationally. Responsibilities 1. Contribute to and manage the strategic plan for OUCAGS in consultation with the Head of Clinical Academic Development, Head of School, Deputy Head of School, clinical academic leads and the Medical Sciences Division, with specific responsibility for implementation, coordination and monitoring progress. 2. Deliver specific projects as part of that strategy, ensuring that the needs of clinical academics from undergraduate to consultant level are considered. 3. Line manage the OUCAGS team who are engaged in a busy programme of annual events, including organising courses, conferences and also statutory monitoring of clinical and academic progress of trainees. 4. Be the major liaison for clinical academic training with NHSE WTE - Thames Valley and Medical Sciences HR to support the annual recruitment cycle for ACFs and CLs. 5. Work closely with other graduate and post-graduate training providers to ensure seamless provision of training opportunities. e.g. Medical School, Foundation Programme, BRC Research Education and Training group, NIHR Oxford BRC, NIHR Oxford Health BRC, NHSE WTE -Thames Valley, the OUH Medical Education team, and Education Policy and Planning teams such as the Graduate School within the University’s Medical Sciences Division. 6. Work closely with other NIHR funded infrastructure within Oxford, especially the Biomedical Research Centre, to support Nursing, Midwifery, Allied Health Professionals. 7. Lead work to reinvigorate the OUCAGS' alumni network for the benefit of current clinical academic trainees. 8. Work to support under-represented groups such as women and minority ethnic doctors. 9. Contribute to the writing of the OUCAGS national competition bid for NIHR funding to ensure continuation of funding for academic training, and other funding applications both internal and external in liaison with the Head of Clinical Academic Development, Head of School and Deputy Head of School. 10. Manage the OUCAGS budget in liaison with the Head of Clinical Academic Development. 11. Review quarterly monitoring returns to NIHR and NHSE WTE -Thames Valley and contribute to the local NIHR budget forecast. 12. Draft the OUCAGS annual quality management report for clinical academic training for NHSE WTE -Thames Valley, in liaison with the Head of Clinical Academic Development. 13. Draft the annual OUCAGS submission for the Education Planning Committee and as necessary for NHSE WTE -Thames Valley, in liaison with the Head of Clinical Academic Development, Head of School and Deputy Head of School. Ensure that the OUCAGS databases and other information collected, stored and used in compliance with the relevant statutory instruments, national and local guidelines and regulations. 15. Be a point of contact and advice for OUCAGS members, senior clinical academics, and clinical training programme directors across the Thames Valley, as well as medically qualified researchers seeking advice on research education and training. 16. Support the management the OUCAGS website for external access and to show-case the School. 17. Deputise for the Head of Clinical Academic Development at both local and national committees and/or working groups as required. Selection criteria Essential selection criteria 1. Evidence of interest and understanding of training and career paths in medicine and a commitment to supporting on-going career development. 2. Line management experience together with ability to lead, support, motivate, conduct appraisals, manage recruitment. 3. Ability to use standard Microsoft Office suite applications (Outlook, Word, Excel, PowerPoint) and to use database/s to record and retrieve information accurately. 4. Able to research and gather information from a variety of sources (e.g. training and event feedback and programme reports, University, NHS England and Government policies, regulations and guidelines etc), and to analyse and compile evidence from these in order to inform and apply findings effectively in day-to-day work. 5. Excellent organisational skills including ability to plan, track and monitor progress, setting targets and prepare reports in tight time-frames under pressure. 6. Ability to communicate effectively and gain the trust and confidence of a wide range of people including senior academics and NHS consultants in the University and across the NHS in the Thames Valley. 7. Excellent oral and written communication skills with a keen attention to detail and concern for accuracy. 8. Experience of financial matters and budget management pertaining to funding awards and programmes. 9. Familiarity with relevant data management, information governance and GDPR legislation. 10. About OUCAGS:

This is an exceptional opportunity for a motivated and experienced individual to join our dedicated, professional and friendly office team providing support for the Oxford University Clinical Academic Graduate School (OUCAGS). OUCAGS was founded in 2009 to promote and advance careers in clinical academic medicine in Oxford, and we do this by working in partnership with NHS England Thames Valley (NHSE-TV). We are the single point of contact across the partnership for advice and information on academic careers, recruitment, training and funding. Our aim is to create an environment in which opportunities for Academic Specialised Foundation doctors, Academic Clinical Fellows and Clinical Lecturers in Oxford are maximised, allowing them to develop their clinical academic careers so that they can flourish, achieve academic excellence and shape the future of medicine.

 

About the Role/Responsibilities:


  • This post reports to the Head of Clinical Academic Development and is part of the OUCAGS Team which comes under the Education Policy and Planning subdivision of the Medical Sciences Divisional Office at the John Radcliffe Hospital. 

  • It is a rewarding and highly varied role in which you will oversee and manage the day to day working of a friendly and welcoming OUCAGS office team and ensure that a busy calendar of events is delivered on time.

  • In parallel, you will develop your expertise and contribute to leadership on all aspects of the recruitment, training, and career development of our clinical academic trainees including the implementation of procedures relating to the annual recruitment, monitoring and budgeting exercises.

  • You will work closely with colleagues within NHSE-TV as well as being key point of contact and advice for clinical academic trainees themselves. 

  • You will also Deputise for the Head of Clinical Academic Development at both local and national committees and/or working groups as required and identify new opportunities that may advance and enhance OUCAGS objectives.


Skills and Qualifications:


  • Proven self-motivation and demonstrable experience of line management and working simultaneously across multiple projects, managing varied deadlines, and prioritising workload effectively.

  • The ability to communicate effectively (orally and in writing) with a personable approach that will allow you to gain the trust and confidence of a wide range of people at different levels including senior academics and NHS consultants in the University and across the NHS in the Thames Valley.

  • Proficiency using standard Microsoft Office suite applications (Outlook, Word, Excel, PowerPoint) effectively and using database/s to record and extract information, approaching all activities with a keen attention to detail and concern for accuracy.

  • The ability to research and gather information from a variety of sources (e.g. training and event feedback and programme reports, University, NHS England and Government policies, regulations and guidelines etc), and to analyse and compile evidence from these to inform and apply findings effectively in day-to-day work.
