We are seeking a proactive and experienced Administrative Assistant to support several research groups within the Institute of Biomedical Engineering (IBME), with a primary focus on the CHI Lab and the Tissue Engineering Group. This permanent position is based at the Old Road Campus in Headington and involves providing comprehensive administrative and secretarial support to Professor Cui, as well as PA support to another senior academic when required. While this is a full-time role, we are open to considering part-time arrangements for a minimum of 30 hours per week.

 

About The Role

You will act as the first point of contact for Professor Cui, members of the research group, and all students, staff and visitors to the group, including international visitors. You will also liaise with HR to ensure all required visit approvals are obtained and arrange programs or meetings as needed. Under the guidance of the IBME Office Manager, you will assist with Institute-wide administrative and support tasks, working closely with PAs, other Research Group Administrators, and the Institute's administrative staff.

 

About You

You should have experience managing administrative process, including arranging complex travel, meetings and seminars. The ability to organise and prioritise a varied workload to meet deadlines is essential, along with a strong attention to detail. You should also possess strong computer skills, along with excellent written and verbal communication abilities. Experience of using financial information systems is also advantageous.

Responsibilities Research Group Administration • Act as the first point of contact for Professor Cui, members of the research group, and all students, staff and visitors to the group, including international visitors. Liaise with HR to ensure all necessary visit approvals are in place and arrange programmes or coordinate meetings as required. • Process Purchase Orders for the academics, research groups and Institute, using Oracle Financials and Marketplace systems, (e.g., for stationery, travel, consumables) and monitor and receipt the arrival of the goods, troubleshooting any difficulties. Ensure invoices are passed to Accounts for payment. Ensure accurate records are maintained, including liaison with suppliers to ensure that orders are processed and can be delivered in a timely manner. • Liaise with the Finance Office to verify project grant spending limits when requested by academics. • Make complex travel arrangements for UK and international travel, including making arrangements for visas where necessary. • Assist in the processing of expense claims acting as a delegate on SAP Concur for senior academic staff, ensuring expenses are charged to the appropriate cost code and claimed in a timely manner, adhering to the University’s expenses principles. Organise expense claims from independent and international organisations if required. • Assist in the induction of new staff, students and visitors. Arranging building access and induction information, familiarisation with the building, and support with office set up. Allocate and maintain space for the research groups. • Maintain the IBME and research group’s website pages and social media platforms. Draft and proofread content for the research groups and Institutes’ communications channels, including website, print, digital and social media platforms. Identify opportunities for media stories and/or communications content. Liaise with the Departmental Web Officer to update the content on the Departmental website. • Organise and run events, including researching and booking venues, arranging catering, organising and printing of any materials needed such programmes, badges and posters. Support and attend Institute events i.e. the BioEngenuity Keynote lecture and the IBME Open Day. • Provide administrative support to the research groups and ensure the smooth running of the groups, for example: o Organise seating, card access and computer allocation for the research groups. o Book meeting rooms for full laboratory, research group subtheme, and lab group meetings. o Ensure that the publication list/database of the research group is collated, verified and updated regularly on the website and that ResearchFish and ORA (Oxford Research Archive) entries are entered as required. o Liaise with IBME IT group on computer-related issues to ensure that they are dealt with in a timely fashion (critical for computational groups). o Administer the “signing-on” and “signing-off” procedures of laboratory members from the groups/IBME. General Administration • Deal appropriately, effectively and professionally with a wide range of people with different needs. These can include senior University officials, scientists, clinicians, students and other administrative staff. Engineering Science Department Engineering teaching and research takes place at Oxford in a unified Department of Engineering Science whose academic staff are committed to a common engineering foundation as well as to advanced work in their own specialties, which include most branches of the subject.
