They should be both a fast learner and able to pay attention to detail, and should have proficient word processing and spreadsheet skills. This may include developing new funding application processes (in line with University guidelines), preparing and disseminating promotional materials, creating and maintaining records of funding applications and outcomes, and assisting with planning and costing exercises. • Administration associated with student loans, including the raising of amendment requests for loans that have been over/underpaid. • Maintaining the Department’s webpages on financial support for students. • Acting as a point of contact on funding matters for Departmental staff, central University units, and external funding bodies. • Assisting with data returns and drafting reports relating to student financial support. • Supporting the departmental administration of student funding awards administered by the University centrally, including the Clarendon scholarship, and acting as secretary to OUDCE funding panel meetings (preparing the meeting documents, servicing meetings, dealing with action points, liaising with the central University Student Fees and Funding, and creating and maintaining records of applications and outcomes). Provision for students with disabilities • The post-holder acts as the departmental Disability Coordinator (under the departmental Disability Lead), which is an advisory role and involves: o liaising with the University’s Disability Advisory Service (DAS), and occasionally with external organizations, regarding support for students with disabilities; o facilitating communications between current and prospective students, the Department and the DAS; o working with departmental staff and the DAS to ensure that appropriate Student Support Plans (for adjustments for study and for examinations) are identified and implemented; o providing advice to academic or administrative staff on complex cases, and/or working with the Disability Lead to determine the best course of action in this regard. • Designing and delivering training on supporting students with disabilities (for departmental academic and professional staff); communicating University guidance to staff, and arranging staff briefings (which may involve engaging specialist speakers); and maintaining a central repository of information relating to disabilities support provision for students. • Developing and maintaining process documentation. • Assisting with data returns, and drafting reports regarding departmental disabilities provision. • Participating in University student disability support meetings (such as the Disability Professionals’ Forum hosted by the DAS). • Contributing to access and widening participation initiatives as might arise. Other access support The post-holder may, from time to time, support other Departmental access projects and initiatives, such as: • Outreach events to raise awareness of educational opportunities amongst target groups (including financial and other forms of student support). This could include: identifying and liaising with community groups and other organizations; liaising with the University’s outreach officers; engaging with the public at events (such as Departmental Open Days) and through media (in collaboration with the Department’s marketing team). • Participating in departmental workgroups reviewing access provision and strategy. • Contributing to and maintaining departmental web-based information on access and widening participation. For all the above areas of work: • The post-holder is expected to develop a detailed knowledge of University and departmental policies and procedures relevant to all areas of their work, to enable them to appropriately advise applicants, current students, and academic and administrative colleagues. • The post-holder will be expected to actively contribute to the development and enhancement or processes and systems. This may involve: reviewing processes and providing ideas for improvements; serving on departmental or University working groups or committees; and project work. Other duties • The post-holder may be required to assist with the preparation and running of departmental examinations (including acting as an invigilator for examinations), and to act as an usher at Departmental Award Ceremonies (this may involve out-of-hours work on a couple of occasions per year). All colleagues are expected to work flexibly across the Department to help other teams when required. The post-holder will be expected to carry out such other clerical duties as may be required by the Director of Finance and Administration or their deputy from time-to-time. These may be in any of the premises in Oxford which are occupied by the Department for Continuing Education, and may occasionally involve working in other locations in relation to outreach work. During each year, there are several particularly ‘busy periods’ when it is likely that opportunities to take leave will be limited. Currently, these are in August and for a few weeks at the beginning of each full academic term (see https://www.ox.ac.uk/about/facts-and-figures/dates-of-term for forthcoming terms dates). The Department runs courses outside of normal office hours, including evenings and weekends.
